PinPoint Local AI ("we", "us", "our") is committed to protecting your privacy. This policy explains how we collect, use, store, and share your personal information when you use our website or services.

PinPoint Local AI is a digital growth agency based in Rotorua, New Zealand. We help local businesses get found, trusted, and chosen online through websites, SEO, AI receptionist services, and related digital marketing.

2. Information We Collect

We collect information you provide directly to us, including:

  • Name, business name, email address, and phone number when you submit an enquiry or contact form
  • Website URL and business details when you use our Free Digital Growth Check tool
  • Any other information you choose to include in messages or form submissions

We also collect limited information automatically when you visit our website, such as your IP address, browser type, pages visited, and time spent on pages. This is collected through standard web hosting logs and the analytics tools listed in section 9.

We also record anonymised browsing sessions and build heatmaps to see how the site is used. These do not capture what you type into form fields. Section 10 explains this in full, including how to opt out.

3. How We Use Your Information

We use the information we collect to:

  • Respond to your enquiries and provide the services you request
  • Send you information about our services that may be relevant to you
  • Improve our website and services
  • Comply with our legal obligations

We do not sell, rent, or trade your personal information to third parties for marketing purposes.

4. The Free Digital Growth Check Tool

When you use our AI-powered Digital Growth Check, the business name, location, and website URL you enter are sent to Anthropic (the provider of the Claude AI model) to generate your audit report. This information is processed in accordance with Anthropic's privacy policy. We do not store your audit results on our servers. The information you enter is used only to generate your report and is not used for any other purpose.

5. Sharing Your Information

We may share your information with trusted third-party service providers who assist us in operating our website and delivering our services, including:

  • Netlify. Website hosting and form submission processing.
  • Web3Forms. Contact form email delivery.
  • Supabase. The database where enquiries, contact details, and message history are stored.
  • Vercel. Hosting for the internal system we use to view and respond to enquiries.
  • Resend. Delivery of the emails we send you in reply.
  • Vapi. Powers our AI receptionist phone service. See section 6 below.
  • Anthropic. AI processing for the Digital Growth Check tool and for drafting reply suggestions.
  • Google Fonts. Web font delivery.

These providers may only use your information for the purposes we specify. We do not sell, rent, or trade your personal information.

6. Our AI Receptionist

If you call us, your call may be answered by our AI receptionist rather than a person. This service is provided by Vapi.

When that happens, the call is transcribed so we can capture your enquiry and follow it up. The transcript, your phone number, and any details you give during the call, such as your name, your business, and what you are after, are stored in our system alongside our other enquiries.

We use this only to respond to your enquiry and keep a record of our dealings with you. If you would rather not speak to an AI system, hang up and email us at ekiwionline@gmail.com instead, or ask during the call to be called back by a person.

To request a copy of a call transcript we hold about you, or to ask us to delete one, contact us at ekiwionline@gmail.com.

7. Data Storage and Security

Form submissions are stored securely by Netlify and Web3Forms. We take reasonable steps to protect your personal information from unauthorised access, use, or disclosure. However, no internet transmission is completely secure, and we cannot guarantee the absolute security of information transmitted to us online.

8. Your Rights (New Zealand Privacy Act 2020)

Under the New Zealand Privacy Act 2020, you have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Ask us to delete your information (subject to legal obligations)
  • Lodge a complaint with the Office of the Privacy Commissioner if you believe we have breached your privacy rights

9. Cookies and Analytics Tools

Our website uses cookies and similar technologies to improve your browsing experience and to understand how the site is used. These are small files stored on your device. 10. Session Recording and Heatmaps

To understand how visitors use our website and to improve it, we record anonymised browsing sessions. A recording may capture the pages you view, your mouse movements, clicks, scrolling, and how you interact with forms.

These recordings are about behaviour on the page, not about identifying you. Specifically:

  • We do not record what you type into form fields. Keystrokes are obscured before they reach us, so a recording shows that a field was filled in, not what was written in it.
  • Password and payment fields are excluded automatically.
  • We do not use recordings to build a profile of you as an individual, and we do not sell or share them for advertising.

If you would prefer not to be recorded, contact us at ekiwionline@gmail.com and we will exclude you. Blocking cookies or using a browser extension that blocks analytics scripts will also prevent recording.

11. Information Held Overseas

Some of the services we use to run this website and our business store information on servers outside New Zealand, mainly in the United States. This includes our website hosting, our customer records, our email delivery, and the analytics tools listed above.

Under Information Privacy Principle 12 of the Privacy Act 2020, we take reasonable steps to ensure these providers protect your information to a standard comparable to New Zealand law. By using our website or contacting us, you acknowledge that your information may be held overseas.

Our website may contain links to third-party websites. We are not responsible for the privacy practices of those sites and encourage you to read their privacy policies.
